SENIOR CLINICAL DATA CLERKS (3)
Duty Stations:
- Yaoundé: Military Hospital(01)
- Bertoua: Military Medical Center(01)
- Douala: Military Hospital(01)
Duties and responsibilities:
i. Active data collection and use of standard tools:
- Ensure the availability of all data management tools, e.g. logs
, standard operating procedure and reporting forms.
- Ensure the proper use of all national and IP registers set up for the
documentation of activities;
- Check the completeness of the information contained in the registers and liaise
with other service providers to correct any missing or
poorly documented information.
- Strengthen the capacity of service providers to correctly use standard tools
: registers and reporting tools;
- Actively support service providers and/or IT specialists in filling in registers
and individual client files if necessary;
- Ensure that all documents are stored in very secure conditions;
- Ensure strict confidentiality in the processing of registers and
reporting tools;
- Keep copies of all reports prepared and transmitted to the hierarchy;
- Mentor staff on the use and functionality of the new
M&E tools put in place;
- Check the information contained in patient registers/records,
databases and ensure that they are constantly updated.
ii. Electronic data management:
- Ensure that all databases are systematically updated in the
tablet and computer;
- Ensure the safety and security of all databases and information
contained in databases;
- Regularly transmit to the hierarchy the updated versions of the databases
: daily/weekly data, monthly databases, quarterly databases;
- Ensure the systematic backup of electronic databases in recommended
systems: hard disk, USB key, Google drive (service);
- Perform a basic analysis of the data collected and provide feedback
on performance to service providers and the head of the structure on trends in achieving the
objectives set;
- Strengthen the capacities of service providers on the basis of electronic data management
;
- Provide the basic information necessary for programmatic decision-making:
deviations in performance levels, list of customers requiring specific attention or
follow-up;
- Identify gaps and needs of the existing M&E system set up at the structure level
and liaise with the M&E/IS advisor and the project
team to find solutions such as the need for a new register or the modification
of a register to better capture the programme indicators.
iii. Coordination activities:
- Liaise with the superintendent and supervisors to ensure that
QA/IA coordination meetings are held on a regular basis;
- Liaise with the head of school and service providers to monitor
the effective implementation of project recommendations and guidelines;
- Ensure that reports of all activities carried out are prepared and
made available to authorized stakeholders;
- Ensure the harmonization and validity of all data/reports produced in the
structure and transmitted to the hierarchy;
- Ensure the implementation of a secure backup or archiving system for
all activity reports generated;
- Assist and facilitate the management of basic commodities - keep a register of purchases and
consumption (RTKs, basic supplies, ARVs, condoms, awareness leaflets, etc.
);
- Coordinate daily data collection processes with the PSW based on project indicators
;
- Perform supportive internal oversight on all data-related activities and
provide corrective actions on the use of records;
- Ensure the availability and correct use of data management tools:
registries, patient records, report forms;
- Keep a record of all project logistics and materials on site and monitor
their correct use.
Professional Qualifications/Requirements:
- Holder of a diploma/attestation in ICT or a related field with at least
three years of experience in data management in a clinical setting;
- Good command of computer data management software with intermediate
skills in MS Excel.
- Good communication skills, reporting, active listening, problem
solving, open-mindedness and self-awareness);
- Ability to communicate in French and English;
- Ability to establish strong relationships and team spirit with colleagues;
- Ability to work in a multicultural environment;
- Ability to maintain the confidentiality of all patient
information in databases.
- Having a background in a health-related discipline with good field computer skills is an added benefit.
